Online enrolment

Enrolment is how you officially become a UCA student. You can do this once you’ve met the conditions of your offer (if applicable), and accepted it.

If you are a UK student, you can complete enrolment online. If you are an International student with a student visa, you will need to attend an additional in-person enrolment session on campus.

How to enrol online

Online enrolment opens on Wednesday 28 August 2024 for courses starting in September. We recommend you complete it as early as possible.

To enrol, select the 'Enrolment' tab in the UCA Applicant Portal and follow the instructions. Here, you will:

  • Confirm your course
  • Provide general information
  • Confirm how you’ll be paying your fees
  • Read UCA’s data privacy statement and regulations.

It can take 30 to 60 minutes to go through everything, so give yourself plenty of time - you'll need to check your details carefully at each step.

The five steps for online enrolment

There are just five things you need to do to ensure you’re all set.

  1. Accept your offer (if you haven’t already)
    • UCAS applicants: You can accept your UCA offer via UCAS Hub.
    • Direct applicants: Head over to your UCA Applicant Portal inbox and accept your offer.
  2. Prepare your identification
    We’ll need to see proof of identity – see the What ID do I need to enrol? FAQ for full details. 
  3. Take a photo for your Student ID Card
    This must be a passport-style photo, with your face clearly visible on a plain white background.
  4. Provide your qualifications
    Gather together your certificates, transcripts, pass slips, or letters from your school/college/university to validate your qualifications. Photos taken on phones are fine. If your offer is conditional, you will need to provide evidence you’ve fulfilled the conditions.
  5. Read your course information
    Your course welcome guide (found in your Course Welcome Pack email)  is a great resource. It contains a campus map, reading lists, general advice, and useful contacts. Your guide may include a summer project designed to help you get ready for your course. Also within your Course Welcome Pack email is a link to your official course information document, which give an overview of what the course entails and the support available to you. This also includes a list of recommended equipment and materials. If you haven’t received a Course Welcome pack email by 6 August please get in touch. 

When to enrol by

Ensuring you complete enrolment by the time teaching starts on 23 September 2024 is crucial for securing your spot on your course, and making sure you receive all important course information.

We recommend that you complete enrolment as early as possible so you can access your induction timetable and are generally all set to start your UCA adventure.

Once you have completed online enrolment, we’ll check your documents to make sure we have everything we need. We aim to complete the checks in a couple of days. When the checks are complete, we will email you about what to do next.

Information for international students

Once you have completed online enrolment, it’s time to get ready for your in-person enrolment session. 

The date, time and location of your in-person enrolment session - as well as details of what to bring with you - will be available on the UCA Applicant Portal once you have successfully completed online enrolment.

Your Student Reference Number/Username will be at the top of your enrolment email. We will also send you a reminder when online enrolment launches on 30 August.

If you’re a UK student

During the online enrolment task you will be asked to upload a scan of the photo page from your British or Republic or Ireland passport or all of the following documents:  

  • Your UK birth or adoption certificate issued in the UK/Channel Islands/Isle of Man or Ireland OR your certificate of registration or naturalisation as a British citizen
  • An official document showing the student’s permanent National Insurance number and their name issued by a government agency or previous employer (eg P60 or P45)
  • A form of photographic ID (provisional or full photocard driving licence issued by an EU country, an Armed Forces Identity card or a proof of age card with the PASS logo). 

If you have a Visa

During the online enrolment task you may be asked to upload a scan of your passport if we do not already have a copy on our Student Records system. You will also be asked about the type of visa you hold that grants you the right to study in the UK, and you may need to upload documents related to this visa (for example, provide a copy of your share code).  

If you are newly entering the UK to study you may be asked to upload proof of the date you entered the UK, for example a scan of your airline ticket or boarding pass.  

You’ll be asked to upload a photo of you (which will appear on your UCA ID card) as part of the online enrolment process.

Your photo should…

  • be a passport-style photo, with you facing forward and looking straight at the camera
  • be a close-up of your whole head and upper shoulders
  • not feature anything covering your face or head (unless it's for religious/medical reasons)
  • not include other people or objects
  • be in clear contrast to the background (ideally on a plain white background)
  • be in focus and clear
  • not have 'red eye'
  • be unaltered by any imaging software
  • be in JPG file format, and less than 1MB in size

We will email you when your student ID card is ready to collect. The email will tell you where on campus you can collect it from.

Enrolment emails are only sent after we've received confirmation of your results. This normally happens in late August. If your fee status is being assessed to determine whether you will pay home or international fees, this will also need to be resolved before you can enrol.

Once you complete the online enrolment process, we will check your documents. When those checks are complete, your UCA network account will be created so you can see your induction and general course timetable (which shows sessions for students across all teaching groups on your course within your year group).

Your induction timetable will cover your first week on campus, and you will receive your personalised course timetable (showing only the sessions you need to attend) in September, during Welcome week. You can view your timetable via myUCA.

Most students can receive a tuition-fee loan from the Government through the Student Loans Company to cover their fees. This will be paid directly to UCA, making the whole process easy.

If you have been granted a maintenance loan, it will arrive in three instalments –  you’ll receive one instalment at the beginning of each term. This ensures that you have the financial support you need throughout the academic year. Please visit the Gov.uk website for further details.

You can apply for a maintenance loan up to 9 months after the start of your course. Find out more at Gov.uk.

After you've enrolled

Once you have completed online enrolment, it’s time to get set up for your UCA life. Here's what to do next:

  1.  Get your UCA Network login details
    You'll use your network login to access your UCA email, timetable, and other important digital resources. You’ll find your network details at the bottom of the enrolment page in the Applicant Portal.
  2. Complete your Online Induction Programme
    Your online induction programme is available on myUCA - you can find it under the 'Induction' section in the menu.
  3. Review your Welcome Week timetable
    You will be able to view your Welcome Week timetable when you complete online enrolment. This will also be on myUCA under the ‘My Courses and Units’ section on the homepage from 9 September.
    Your course and personalised timetables will be available to view during Welcome Week in the timetables page on myUCA. You will also be able to view course timetables here when they are available.
  4. Collect your Student ID card
    Please keep an eye on your emails, as we’ll email you the details of when and where to collect your UCA ID card once it’s ready.
